A workflow diagram shows how your whole turf business operates from start to finish. It’s about connecting the big pieces - production, sales, delivery, and admin - so you can see how one part affects another. This helps you spot delays, avoid mistakes, and make sure every part of the business runs smoothly together.

How to Use It:

  1. List the main stages of your business (e.g., growing, mowing, harvesting, packing, delivery, invoicing).

  2. Draw each stage as a box in the workflow diagram.

  3. Above each box, note what could interrupt or slow down that stage (e.g., missing tools, poor layout, lack of training, unclear instructions).

  4. Below each box, write down solutions or steps to prevent these interruptions.

  5. Connect the boxes with arrows to show the flow from one stage to the next.

  6. Share the diagram with your team so everyone understands the full workflow and how to keep it running efficiently.

  7. Update the diagram as your business grows or changes.

This template helps you clearly document how a task should be done — step by step. It’s designed to make training easier, reduce mistakes, and ensure quality and safety across your team. Whether it’s loading trucks, handling stock, or carrying out routine nursery tasks, having a written procedure keeps everyone on the same page.

Instructions:

  1. Procedure Name – Write the task or process you’re documenting.

  2. Revision / Date / Name / Approved – Track who created it, when, and who approved it.

  3. Purpose – Explain why this task is important or what it achieves.

  4. Scope – Clarify what areas, staff, or situations the procedure covers.

  5. Pre-requisites – Note anything that must be done before starting the task.

  6. Tools / Equipment Required – List what’s needed to complete the task safely and effectively.

  7. Safety / PPE Required – Record any safety measures or personal protective equipment required.

  8. Step-by-Step Instructions (1–12) – Break the task into clear, numbered steps. Keep each step simple, actionable, and in the order it should be done.

  9. Check / Review – Include any follow-up checks or approvals to ensure the task is done correctly.

Tip: Keep the language simple and practical, so anyone on your team can follow it without needing extra explanation. Use pictures or diagrams where it helps make steps clearer.

The 5S Audit Sheet is a practical tool to help you keep your turf business running smoothly. It helps you organise your shed, machinery and work areas so tools and materials are easy to find, work flows without hold-ups and your crew can stay productive. By checking your areas regularly against the 5S principles of Sort, Set in Order, Shine, Standardise and Sustain, you can spot problems early and make small improvements that save time and hassle.

Completing this sheet shows you which parts of your business are working well and where you need to improve. It helps you plan simple, practical actions to tidy up, organise and standardise your operations so your turf business runs efficiently.

Instructions:

Sort – Clear the Clutter
Look around your work area. Are there tools, equipment or rubbish you do not need? Give each question a score from one for poor to four for excellent. Make a note of any actions needed to fix issues.

Set in Order – Everything in Its Place
Check if tools, supplies and information are easy to find and easy to reach. Make sure everything has a proper home and that storage areas are clearly labelled. Score each question and note improvements needed.

Shine – Clean and Maintain
Check for cleanliness and maintenance issues in your workspace and equipment. Can you easily see when something is out of place? Score each question and write down anything that needs fixing.

Standardise – Make it Routine
Check if clear procedures, checklists or visual guides are in use. Score each question and make a note of any actions needed to make work consistent.

Sustain – Keep it Going
Are audits done regularly? Are key boards and charts visible? Can supplies and information be found quickly? Score each question and record any follow-up actions required.
